With the support of CryoGenTech, the Pokrovsky Stem Cell Bank has established a global monitoring system for cryogenic storage facilities ComCryo for the main parameters: the level of liquid nitrogen and the temperature at a given height from the bottom of the storage facility. Both parameters are displayed both in numerical form and in the form of a graph. Graph and statistics can be viewed for any period of time. When the measured parameters exceed the specified limits, the system notifies the user about this.

The IT system monitors the health of the equipment: both the server and the controllers themselves at the cryo-depositories – and allows you to get reference information about the installed equipment. The electronic control system registers all cases of deviations of the level of liquid nitrogen from the specified parameters and creates a report indicating the date and time. Information is updated every 2 minutes.

The system has a web-interface: a special website is launched on the server to collect and process data from the storages of the Pokrovsky Stem Cell Bank, which can be accessed with a regular browser (Firefox, Safari, etc.) from any computer on the local network (including the server computer itself) or via the Internet if such access is allowed by the system administrator. Data can be removed from storage sites either over a wireless network (within a building) or over the Internet if the storage sites are located in different parts of a city, region or country. All data is archived.

The site is accessible only to authorized users (registered in the system) – these are biotechnologies and cryo-engineers of the Pokrovsky stem cell bank. The access level of each specific user is set in advance by the system administrator, which allows you to limit the ability to view and modify the data stored in the system.

A database of stored cord blood samples is integrated into the system with the ability to search by various sample characteristics (by number, by HLA genotype, by number of nucleated cells, by blood type, etc.). All this data can be obtained by reading the barcode on each sample. This is about 20 pages of text on paper.

An end-to-end monitoring of storage conditions at the sample level is carried out: if the sample was placed first in the quarantine dewar, and then transferred to the main one, the system will allow to issue a continuous temperature graph of both storages while the selected sample was there. That is, experts conduct a protocol for each sample during its cryogenic storage.

If there are temperature control modules for portable storages, data can be imported into and from them. Thus, the system will allow to control the entire life cycle of the sample from the moment it is received in the maternity hospital. There is a database of patients with the ability to search by the parameter “client” (for example, all samples of a given client or all storages where samples of a particular patient were stored).

The system also allows you to “lead” a cord blood sample through the laboratory (automated input of research data, control of sample movement through laboratories). Access to the vaults is authorized by contactless name cards, that is, there is a lock on the lid of each vault, which can be opened only by attaching a plastic ID card to the reader. The electronic lock will open only if this employee is allowed access to this storage at this time. The fact of access (or access attempts) to the repository will in any case be fixed in the system.

Movement of samples is controlled by the technology of contactless RFID tags. The system is connected to the Internet, and a GSM modem is installed, through which SMS messages are sent to cryogenic engineers of the Pokrovsky stem cell bank.

We asked the head of the Transfusion Service of the Pokrovsky Stem Cell Bank, Dmitry Ivolgin, whether there are similar control systems in other stem cell banks. “This system was installed for the first time in Russia; this is another innovative approach of the Pokrovsky Stem Cell Bank to its work. Such systems have proven themselves very well abroad in monitoring work with umbilical cord blood stem cells, ”D. Ivolgin said.
